Staff

Add your team members, set their availability, and assign them to services so clients know who they're booking with.

Adding a staff member

Go to Staff → Add Staff Member. Fill in their name, role, and optionally upload a profile photo. Their name and photo can be shown on your booking form if you enable staff visibility in your theme settings.

Roles

Whoopa has two staff roles:

  • Admin — full access to the dashboard, including settings, billing, and all bookings
  • Staff — limited access, can view and manage their own bookings only

The account owner always has full admin access. Additional admins can be added but cannot access billing settings.

Working hours

Each staff member has their own working hours. Set the days and times they're available. When a service is assigned to a staff member, Whoopa uses their working hours to filter out time slots that fall outside their schedule — even if the service itself has broader availability.

Assigning staff to services

When editing a service, you can assign a staff member to it. This links the service to that person's schedule and optionally shows their name and photo on the booking form.

If no staff member is assigned, the service is shown without a staff name.

Staff limits by plan

The number of staff members you can add depends on your plan:

  • Basic — 2 staff member
  • Business — up to 5 staff members
  • Pro — up to 10 staff members

To add more staff, upgrade your plan from Settings → Billing.
